VoiceLingua ("we", "our application") is a voice transcription, translation and language learning application available on Android and Windows, operated by Nimbus Solutions LLC (100 Gold Ave SW Ste 102, Albuquerque, NM 87102-3475, USA). This policy explains what data we collect, why, and how we protect it.

1. Data We Collect

We collect the following data when you use the application:

• Audio data: voice recordings captured via your device's microphone. Audio is streamed to our servers for transcription, processed in memory, and immediately discarded. No audio recording is retained on our servers or stored on your device.
• Transcriptions and translations: text generated from your voice recordings, along with any translations, reformulations and explanations produced.
• Account data: email address (verified by token) and password (stored only in encrypted form, never in plain text).
• User preferences: source language, target language, usage mode, reformulation tone and format.
• Learning data: grammar insights, vocabulary, and CEFR levels automatically generated from your transcriptions.
• Flashcards (Android): spaced-repetition review data stored locally on your device in secure local storage.
• Usage counters: daily transcribed audio duration and synthesized character counts, used for quota tracking.

2. Data Stored Locally on Your Device

The Android application stores locally:

• Your authentication tokens (JWT and refresh token) in Android private storage.
• Your most recently entered email address (to pre-fill the sign-in form).
• Your usage preferences (languages, modes, tone).
• The temporary audio cache for text-to-speech output (purged automatically by Android).
• Your flashcards and review history (offline mode).

3. How We Use Your Data

Your data is used exclusively to:

• Provide transcription, translation, reformulation and speech-synthesis services.
• Generate personalized learning insights (grammar, vocabulary, CEFR).
• Display your session history and transcriptions.
• Send you the necessary transactional emails (email verification, password reset).

We never use your data for advertising, marketing profiling, resale, or sharing with advertisers.

4. What We Do NOT Collect

By design, VoiceLingua does not collect:

• Device identifiers (Android ID, IMEI, IDFA, etc.)
• Advertising identifiers
• Location data
• Contacts, photos, videos, files
• Web browsing data
• Automatic crash reports (no crash-reporting SDK)
• Product analytics data (no Firebase Analytics, Mixpanel, Amplitude, or similar SDK)

5. Third-Party Services (Sub-processors)

VoiceLingua uses the following third-party services to process your data. Each service is governed by its own privacy policy:

For European users, these transfers are covered by the European Commission's Standard Contractual Clauses or by applicable Data Privacy Framework certifications.

6. Data Retention and Deletion

• Audio recordings are processed in memory and are never stored on our servers or written to disk.
• Transcriptions, translations, sessions and learning data are kept in your account for as long as it remains active.
• You can delete your account directly from the application (Settings → Delete my account) or from our web dashboard.
• Deleting your account triggers:
  • Immediate sign-out from all your devices and revocation of all access tokens.
  • Immediate flagging of your account as deleted (your data is no longer accessible).
  • Permanent erasure of all your personal data within a maximum of 90 days, in line with our security and fraud-prevention requirements.
• Aggregated and anonymous usage counters (with no link to your account) may be retained for statistical purposes.

7. Data Security

• All communications between the application and our servers are encrypted via HTTPS / WSS (TLS 1.2+).
• Passwords are never stored in plain text — they are protected by an industry-standard hashing function.
• API access is protected by time-limited authentication tokens with a secure refresh mechanism.
• Our server enforces rate limiting to prevent abuse.

8. Android Permissions

The Android application requests the following permissions:

• Microphone (RECORD_AUDIO): required for voice transcription.
• Internet (INTERNET): communication with the VoiceLingua API.
• Foreground service (FOREGROUND_SERVICE): enables continuous transcription when the app is in the background.
• Notifications (POST_NOTIFICATIONS): daily flashcard review reminders (optional, can be disabled).
• Vibration (VIBRATE): haptic feedback when recording and on notifications.

9. Minors' Data

VoiceLingua is intended for users aged 18 and older. We do not knowingly collect any data from users under 18. If you believe a minor has provided us with data, please contact us immediately at [email protected] for deletion.

10. Your Rights

In accordance with the GDPR (EU), the CCPA (California) and other applicable regulations, you have the right to:

• Access your personal data
• Correct inaccurate data
• Request deletion of your account and all your data
• Portability: receive a copy of your data in a readable format
• Withdraw your consent at any time
• Lodge a complaint with a supervisory authority (ICO in the UK, CNIL in France, etc.)

11. Changes to This Policy

We may update this policy to reflect changes in our practices or in applicable regulations. Any material change will be communicated by email or in-app notification at least 30 days before it takes effect.
